From Import Request to Shipment: Export Order Process from Egypt

A successful export order requires preparation well before the goods are loaded. Clear product specifications, responsibilities and delivery terms make coordination easier for both the importer and supplier.

ALRKEBA Trading Firm coordinates order stages according to the client’s requirements and the agreed service scope. The following steps describe a typical process.

   Understand the importer’s request

We begin by clarifying the product, specifications, quantity and destination, as well as packaging, required certificates or documents, and expected delivery date. A sample, photos or technical specifications may be requested to define the requirement more precisely.

    Identify suppliers and collect offers

Depending on the product and available options, we look for one or more potential suppliers and discuss specifications, price, quality, packaging, preparation time, delivery and payment terms, and available documents.

We present the available information and offers for the importer to compare. The client makes the final supplier and offer selection.

   Clarify the agreement and responsibilities

After an offer is selected, the transaction details are reviewed with the relevant parties: product specifications, quantity, price, payment terms, preparation and delivery schedule, documents, and how any discrepancy will be handled.

If the transaction requires the firm to negotiate, follow up or sign on the client’s behalf, this must be covered by clear written authorization. Agreements and contracts are prepared according to the agreed service scope.

Approve the sample and follow up on preparation

Where a sample is needed, the parties define how it will be approved and linked to the goods ordered. Once the order is confirmed, we can follow up on preparation dates and coordinate packaging and loading arrangements with the supplier, according to the responsibilities set out in the agreement.

   Review the goods and documents

Before shipment, goods receipt or a review against the agreed sample and specifications can be coordinated within the authorized scope. Shipment documents are collected or prepared according to the product and destination requirements. These may include a commercial invoice, packing list, certificate of origin or other applicable documents.

Requirements vary by product and market and should be confirmed before shipment.

   Coordinate shipping and send documents

Once preparations are complete, we coordinate the shipping booking, loading and handover according to the agreed delivery term. When shipping documents are issued, they are sent to the client through the approved communication channels.

Agree on service scope and fees in advance

The firm’s responsibilities depend on the selected cooperation model: supplier sourcing, commercial representation, goods receipt follow-up, or document and shipping coordination. The service scope, commission or fees, and payment terms are agreed in writing before execution.
